Job Description

The Sports Specialist will be responsible for designing, quoting, and booking various inbound and outbound journeys for the Sport and Events division within both B2B and B2C markets. The role requires a strong focus on the Sports and Events environment, proactive product development, and ensuring offerings are updated, cost-effective, and aligned with client demands. The ideal candidate will exceed customer expectations, meet operational deadlines, and achieve set sales targets.


Key Responsibilities

Skills and Operational Experience

Assess client/agent needs, including special interests, requirements, and budget considerations.

Provide accurate quotations for all requested services within the required turnaround time using Tourplan and manual processes.

Handle reservations for all requested client/agent services.

Respond to and confirm written client requests.

Manage all aspects of flight bookings with airlines.

Oversee documentation management, including:


Itinerary planning and layout

Compilation of travel packs for clients

Voucher and rooming list preparation

Filing and record-keeping

Handle and escalate client complaints as needed.

Manage MOD phone and address queries when required.

Client Care

Maintain contact with clients throughout their travel period.

Address client complaints and emergencies effectively.

Maintain strong relationships with the travel trade.

Administration

Follow and enforce all divisional procedures and policies.

Submit timely reports and adhere to deadlines.

Maintain confidentiality regarding company intellectual capital.

Ensure all costings are accurate, competitive, and offer the best value.

Financial Reporting

Analyze and explain financial variances.

Manage margins effectively.

Reconcile booking files accurately.

Client Relationships

Ensure client expectations are met with a high standard of service.

Offer clients the best available pricing and product.

Build and retain strong client relationships.

Follow up with clients and respond to new leads.

Supplier Relationships

Foster strong relationships with preferred partners.

Stay updated on supplier products and strategies.

Source and establish the best sports and events-related products.

Actively seek out new and innovative travel products.

Teamwork

Maintain positive relationships within all teams in the division.

Coach, mentor, and develop team leaders and their teams.

Drive performance management through leadership.

Collaborate with other business units as needed.

Support sales and marketing teams to secure business opportunities.

Learning and Development

Continuously expand product knowledge through industry events, workshops, and trade shows.

Stay informed about industry trends and new travel products.

Participate in exhibitions and trade shows when necessary.

Payments and Account Queries

Ensure timely invoicing for all services rendered.

Manage payments and resolve account queries.

Arrange pre-payments as required.

Requirements

Qualifications and Expertise

Matric certificate.

Travel & Tourism qualification.

3 – 5 years of experience in the Tourism Industry (Inbound & Outbound).

Competency Requirements

Experience with ZOHO is advantageous.

Strong knowledge of the Marathon World is mandatory.

Experience with Tourplan is essential.

Salary

The salary for this position is competitive and dependent on relevant experience.
